1. Information We Collect

When you register for early access, we collect your full name, company name, and business email address. Browser localStorage remembers your theme. We use OpenPanel, an analytics service we host ourselves at panel.adaptech.ai, to record page views, outgoing-link clicks and events explicitly marked on the page. Its browser script is served from openpanel.dev. OpenPanel sets no cookies, and session replay is disabled. If you reach our website by a link in one of our emails, the link carries a code that tells us which email and which recipient it came from, and we connect that visit, and the pages you view during it, to our record of that person (sections 6 and 7).

2. How We Use Your Information

Your registration information is used to notify you when Kaidera becomes available, evaluate fit for our B2B early access program, and send you relevant product updates. Website analytics help us understand and improve the website. When a visit comes from one of our emails, we also use it to learn which subjects interest that reader and whether to follow up with them. We will never sell or rent your information.

3. Data Storage & Security

Your data is stored on encrypted servers hosted on Microsoft Azure and Amazon Web Services in the United States. We implement industry-standard security measures including encryption at rest and in transit.

4. Your Rights

You may request deletion of your data at any time by contacting us at our privacy team ([email protected]). Under GDPR and applicable US state privacy laws, you have the right to access, correct, delete, and port your personal data.

5. AI Data Processing

When you use Kaidera’s platform (post-launch), your interactions with AI workers are processed by third-party large language model providers. Your code and project data are never used to train AI models. You retain full ownership of all content generated through the platform.

6. Business contacts we email

This section covers people we email one to one about their work without their having signed up with us first.

Who we are. Adaptech AI LTD, registered at DIFC Dubai AI Campus, UAE, and Xperto AI LLC, trading as Kaidera, 7901 4th St N STE 300, St. Petersburg, FL 33702, USA, are joint controllers of this data. You can reach both at [email protected], and either company will act on your request.

What we hold. Your name and work email address, your organisation and job title where we have them, the public facts about your organisation that our email is based on, with their links and dates, and a record of the emails between us, including any request not to be contacted. If you follow a link in one of our emails, we also hold that you did, when, and the pages you then viewed on our websites.

Where it came from. One of four sources, and every email we send names which one:

We use work addresses only. We never guess an address from a name pattern.

Why we use it. To write to you, one person at a time, about a specific operational question at your organisation that Kaidera may help with, and to follow up no more than three times if you do not reply. If you reply, our Head of Sales takes the conversation from there.

Our lawful basis. Legitimate interests (UK GDPR Article 6(1)(f)). Our interest is offering our services to organisations with a relevant need. We keep it narrow: work addresses only, a small number of individually written emails, a subject tied to your role, and a one-line way to stop in every email. Connecting your visits to our record of you rests on the same interest: knowing whether our email was of use to you.

Links in our emails. Links to our websites carry a campaign tag that shows which email a visit came from, and a code that tells us the visit came from your copy. When you follow one, we connect that visit, and the pages you view during it, to our record of you. Our one-to-one emails contain no tracking pixel, so we do not know whether you have opened one.

Who else sees it. We keep our records on our own system, which we run ourselves on cloud servers in the United States, and website visits in OpenPanel, which we also host ourselves. Service providers process it for us under contract: the host of those servers, Google Workspace for email, and Wiza when we check an address. We do not sell your data or share it for anyone else’s marketing. Because both our companies are based outside the UK, your details are held outside the UK.

How long we keep it. If you do not reply, we delete your details 12 months after our last email. If we are in conversation, we keep them while it continues and for 24 months after it ends. If you ask us not to contact you, we keep only your email address and the date of your request on a suppression list, so that we never write to you again.

Your rights. You can object to our emails at any time and we will stop: reply ‘no’ to any of them, or write to [email protected]. We act on it at once, not at a legal deadline. You can also ask for a copy of what we hold about you, or ask us to correct it, delete it or restrict its use. If you are unhappy with how we have handled your data, you can complain to the Information Commissioner’s Office at ico.org.uk.

7. Newsletter subscribers

This section covers people who receive the Kaidera newsletter or our announcements by email.

Your email address, your name if we have it, which of our lists you are on, when and how you joined, and whether you have unsubscribed. For each issue we send you, we also hold whether it was delivered, when you opened it, which links you clicked, and the pages you viewed on our websites after following one of them.

How you come to be on it. In one of three ways:

Our lawful basis. If you asked to be added, your consent (UK GDPR Article 6(1)(a)), which you can withdraw at any time by unsubscribing. If we have been in touch, or your address came from a business contact list, legitimate interests (UK GDPR Article 6(1)(f)): our interest is telling people in aviation and enterprise technology about our work. We use work addresses only, and every issue lets you stop. We measure opens, clicks and visits, as described below, on the basis of legitimate interests: our interest is learning which subjects matter to our readers and who would like to hear more from us.

What we measure. Each issue carries a small image that records when your copy is opened, and its links pass through a counter that records which links you click. We record both against your subscription. Amazon SES, which delivers each issue, also records whether your copy was delivered, bounced or was marked as spam, and for each open and click the time, the network address and the type of device and email app used. Links to our websites carry a campaign tag naming the issue and a code that tells us the visit came from your copy, so our website analytics (section 1) connect that visit, and the pages you view during it, to your subscription. We use all of this to improve the newsletter and our website, and to decide whom to follow up with personally.

Who else sees it. We keep the list, and the record of what we sent you and what you opened and clicked, in listmonk, mailing software we run ourselves on the same cloud servers in the United States as the records in section 6, and website visits in OpenPanel, which we also host ourselves. Service providers process it for us under contract: the host of those servers, Microsoft Azure; Amazon Web Services, whose Amazon SES service delivers each issue from the United States and records its delivery, opens and clicks; and Google Workspace, where replies arrive. We do not sell the list or share it for anyone else’s marketing. As in section 6, your details are held outside the UK.

How long we keep it. Your subscription record, while you are subscribed. Records of deliveries, opens, clicks and visits, for 24 months after they are made. If you unsubscribe, we keep your record marked as unsubscribed, so that no issue reaches you again. Choosing ‘Wipe your data’ on the unsubscribe page deletes your record from our mailing software; to have your recorded opens, clicks and visits deleted as well, write to [email protected].

Your rights. Every issue has an unsubscribe link at the foot, and your email app may also offer an unsubscribe button. Either takes you off the list at once. The page that link opens also lets you have a copy of what we hold about you emailed to you, or wipe it. You can object to our measuring your opens, clicks and visits at any time: write to [email protected] and we will stop connecting them to you and delete what we have recorded. Most email apps can also block the images that record opens. You can write to [email protected] for any of the rights in section 4, and you can complain to the Information Commissioner’s Office at ico.org.uk.
